Stop Re-Explaining Your Work to AI Every Time

Save time by creating persistent AI workspaces that remember your context and preferences for regular business tasks.

Why this matters

If you're using AI tools like ChatGPT or Claude for work, you've probably noticed something frustrating: every conversation starts from scratch. You end up typing the same background information over and over—your role, your company's style, your project details. It's like introducing yourself to the same colleague every single day.

Fortunately, there's a better way. Claude Projects (and similar features like Custom GPTs) let you create persistent workspaces that remember your context. Think of them as dedicated AI assistants that already know your situation and preferences.

What are Claude Projects?

Claude Projects are like having a filing cabinet for your AI conversations. Each project maintains its own context and memory, so you can jump right into productive work without repeating yourself.

For example, if you regularly write meeting summaries, you can create a "Meeting Notes" project that already knows your company's format, key stakeholders, and preferred tone. When you upload meeting transcripts or notes, Claude immediately understands what you need.

Setting up your first project

Step 1: Identify a recurring task

Pick something you do weekly or monthly that involves similar context each time. Common examples include:

  • Meeting summaries or minutes
  • Weekly reports or updates
  • Client communication drafts
  • Project status updates
  • Content creation for your team
  • Step 2: Create the project

  • Log into Claude.ai (you'll need a Pro subscription)
  • Click "Create Project" on the left sidebar
  • Give it a clear name like "Weekly Team Reports" or "Client Communications"
  • Step 3: Write your project instructions

    In the project description, include:

  • Your role and company context
  • The specific task you need help with
  • Your preferred format or style
  • Any key information Claude should always remember
  • For example: "You're helping me write weekly project updates for my marketing team. Our company is a mid-sized software firm. Keep updates concise (3-4 bullet points max), focus on progress and blockers, and use a professional but friendly tone. Always include next week's priorities."

    Step 4: Upload reference materials

Add any relevant documents—templates, previous examples, style guides, or background information that Claude should reference.

    Step 5: Start using it

Now, whenever you need to work on that recurring task, open your project instead of starting a new chat. Claude will already understand your context and preferences.

    Making the most of projects

  • Be specific in your instructions — The more detail you provide upfront, the better Claude will perform
  • Update as you go — If you notice Claude missing something important, edit your project instructions
  • Use multiple projects — Create separate projects for different types of work to avoid confusion
  • Try it today

Pick one task you do regularly that involves explaining the same context to AI. Set up a Claude Project for it this week. You'll be amazed how much time you save and how much better your results become when your AI assistant already knows what you need.
